How our Onsite & Offsite Coordination works

Discovery Call

During the Discovery Call, we'll explore the onsite or offsite you're planning. In addition to the logistics, we'll also talk about how your team is set up, the team's vibe, and how you'd like your team to connect during the experience. We’ll also give you an overview of how we work and a tour of how we structure onsite and offsite projects. 

Offer & Contract

Based on the information you provide us in the Discovery Call, we'll provide you with an offer for event coordination for your onsite or offsite. If you accept the offer, we'll move on to the onsite and offsite coordination!

Event Coordination Folder & Budget Transparency

Once the contract is signed, you'll get access to your Onsite/Offsite Event Folder which contains all the organizational templates we'll need to coordinate and collaborate.

We believe that trust is based on transparency.  For this reason, our planning includes complete budget transparency so you know what you're getting for your investment each step of the way. 

Agenda Definition & Partner Sourcing 

For offsites, our first step is to secure accommodation and plan travel for your team. We have a portfolio of locations in Germany that we use for this step, each one suitable for large groups and close to public transportation. From there, we work together with you to define the agenda for your offsite, suggesting additional partners to create the experience you want. 

For onsites, we start with the agenda, working together to define the experience you want to create. We’ll advise you on how to best balance your team’s time and how to plan activities and sessions for an inclusive experience. From there, we suggest the venues and partners to bring it to life!

In both cases, we regard ourselves as guardians of the budget. Our careful planning and attention to detail ensures that you stay on budget and that there aren't any surprises. 

Internal Communication Support

Leveraging internal communications channels to engage your team ahead of the onsite or offsite helps drive better engagement. This is why our integrated event coordination includes a plan for internal communication and creative posts which you can use to highlight different aspects of the experience ahead of time.   

Team Building Activities

Gathering a team for an on- or offsite is a large investment - it’s important to make it count! Based on your team health survey, we’ll help you define the team building topics to focus on.

From there, we suggest fun and creative ways to help your team work on the topics, ensuring that the impact of the activities is clear and measurable.

Production of Onsite & Offsite Materials

From Welcome Bags to lanyards and T-Shirts: giveaways go a long way to heighten the on- and offsite experience! We’re experienced in the production of these materials and can work directly with your internal design team to coordinate production and delivery if desired. 

Optional Onsite Support

Looking for additional support at your on- or offsite? We’re happy to accompany you through the experience and support with the onsite coordination.
